Privacy statement ICT Media B.V. 

This is the privacy statement of ICT Media B.V., Parade 15, 5211 KL, Den Bosch, registered in the Trade Register at the Chamber of Commerce under number 34261560, hereinafter referred to as:ICT Media”.  

General
ICT Media organizes events in the IT and digital field with the primary goal of transferring knowledge and establishing personal and business relationships. 

If you visit an event, participate in an event as a partner, visit the website out of interest or respond to social media expressions, we process certain personal data about you. We want to be transparent about the processing of your personal data. In this privacy statement we therefore explain which personal data we collect and use from you, why we do so and for what purpose. 

Applicability 

This privacy statement applies to all processing of personal data by or on behalf of ICT Media. 

Basis for processing 

ICT Media uses personal data, among other things, for the execution and processing of an agreement. Consider, for example, the agreement with you as a participant or partner of an event. ICT Media may also have a legal obligation to process and store your personal data. 

ICT Media may also use your personal data because it has legitimate business interests to do so. These interests include providing a good service, generating revenue, securing systems, efficient business operations and keeping customers informed of its products and services.

ICT Media may process the personal data mentioned below when performing its services. This does not mean that we process all the data below from you. The data we process depends on which services you use.

Purposes of processing 

ICT Media processes this personal data for various purposes, such as: 

  • Relationship management; 
  • Maintaining and recording contacts; 
  • Communication purposes; 
  • Informing about its product range; 
  • Organization and execution of agreements; 
  • Provision of services; 
  • Sending newsletters; 
  • Market research; 
  • Testing participants against the registration conditions; 
  • Inform about registrations; 
  • Sending login details; 
  • Sending text messages; 
  • Sending whatsapp messages; 
  • Registration of attendance; 
  • Printing badges; 
  • Provision of data to third parties; 
  • Performing evaluations; 
  • Improving our services; 
  • Billing and payment purposes;

Contact ICT Media 

If you contact us or we contact you by phone, e-mail, via social media, chat or in any other way, your data will be registered. This way, ICT Media employees can later see that there has been contact with you before and about what. This way we can help you faster and better. Think, for example, of questions about our services, payments, complaints or if you participate in market research. 

Legal obligation 

ICT Media may be obliged by law or regulation to process your personal data and/or provide it to third parties. For example, when a competent authority such as the police requests it in the context of a criminal investigation. 

Are we allowed to process your data? 

ICT Media processes personal data on the basis of your explicit consent, if this is necessary for the execution of an agreement, a legal obligation or a legitimate interest of ICT Media to process your data for direct marketing purposes where you always have the option to unsubscribe. 

Security
ICT Media provides appropriate technical and organizational security measures to protect the personal data against, among other things, loss, destruction or damage, unauthorized access or any other form of unlawful processing of your personal data. We do this, among other things, by taking physical and organizational measures for access security, shielding every desktop with username and password and authorization management so that your data cannot be viewed by all ICT Media employees. This also includes keeping software up-to-date and regularly testing our security measures. 

Retention period
We store your data insofar as this is necessary for the realization of the purposes for which we process your data for a maximum of 7 years. 

Processing by third parties
ICT Media uses services of other parties. This only happens after screening in the field of security and privacy and only after the third party has signed a so-called processing agreement with regard to the use and protection of personal data. Activities involving third parties are: visit registration, CRM system, CMS system, email marketing, online marketing. 

Provision of data to third parties 

ICT Media does not provide or sell data to third parties (other than to partners with whom ICT Media has an agreement). However, ICT Media may be obliged by law or regulation to process your personal data and/or provide it to third parties. For example, when a competent authority such as the Police requests it in the context of a criminal investigation. 

ICT Media does provide your data (Full name, function and organization) to participating partners, but only with regard to your participation in an activity organized by ICT Media and the downloading of online information available on one of our platforms. ICT Media only shares your e-mail address if you have given explicit permission for this during the registration process (opt-in). 

Rights 

Anyone whose personal data is processed by us has the following rights: 

  • access to your personal data and a copy thereof; 
  • correction of your personal data if they are incorrect; 
  • having data deleted or anonymized because they are no longer correct or, for example, because you have withdrawn your consent; 
  • request a restriction of processing (temporary lock on the personal data) if you have a legal basis for doing so; 
  • have your data transferred; and 
  • object to certain uses. 

 

If you want to exercise one of your rights, please do so as follows. You can send your request by e-mail to info@ictmedia.nl. To ensure that the request has been made by you, ICT Media will verify whether it is the right person. You will receive a response within one month of receipt of the request. 

Image recordings 

At an event, photos and videos are taken for reporting and recording purposes of an event. It is therefore possible that you will be captured on photos or videos that are used by us after an event. By registering, you agree to the use of this visual material. 

Use of cookies
ICT Media uses cookies when offering its services. Cookies are small text files that  are placed on your computer, tablet or mobile phone via an ICT Media website and are read out when you use our websites. Below you will find an explanation of the different types of cookies that ICT Media places

Functional cookies 

ICT Media uses a number of functional cookies. These allow us to store data for you that improves your experience on the websites. The functional cookies that we place via our various websites, for example, as a purpose of remembering your preferences such as possibly the language you have chosen. 

In order to be able to adapt our website to the wishes and interests of the visitor, we use measurement cookies, also called analytical cookies. This allows us to see which pages cause problems with visitors, which are popular, et cetera. This information is important to us in order to continue to develop a pleasant website experience for you. We only use data that cannot be traced back to you as a person. 

Social media cookies
Social media cookies make it possible to easily share a page via social media or to show social content about a topic (e.g. tweets). The social media for which cookies can be placed are, for example, LinkedIn and Google

Deleting and refusing cookies
